Once you start living in Japan, you will hear the term “My Number” (マイナンバー) everywhere.
So, what is it, and why do you need it?
Think of it as your official, super-powered ID number in Japan. Getting the physical “My Number Card” makes many official procedures much, much easier.
This guide will walk you through everything you need to know.
“Notification Card” vs. “My Number Card”
The My Number journey begins right after you complete the most important task for any new resident: registering your address.

Once you are registered, you will receive a letter called a “Personal Number Notification” (個人番号通知書 – kojin bango tsuchisho) in the mail.
This paper itself is NOT the My Number Card.
You must apply separately for the actual card, which is a plastic, credit-card-sized ID with your photo on it.
We strongly recommend you apply for the plastic card. It has many benefits.
Why You Should Get a My Number Card
- It’s a powerful photo ID. It can be used as official identification for opening bank accounts, signing contracts, and more.
- Get documents at a convenience store. You can print official documents like your residence certificate (jūminhyō) at a konbini instead of going to the ward office.
- Use it for online government services. It simplifies online tax filing and other procedures.
- It can be your Health Insurance Card. You can link it to your health insurance and use it at hospitals and clinics.
How to Apply for Your Card (The Easy Smartphone Way)
The easiest way to apply is with your smartphone.
Step 1: Find Your Application QR Code
Look at the “Personal Number Notification” paper that was mailed to you. It has a QR code on it for the application.
Step 2: Scan and Fill
Scan the QR code with your phone to open the application website.
Fill in your name, email address, and other details.
Step 3: Upload Your Photo
You need to upload a recent, clear photo of your face.
You can take a selfie with your phone, but make sure it has a plain background and follows the rules shown on the website.
Step 4: Submit!
Once you submit your application, you’re done for now.
The waiting game begins!
Receiving Your Card: The Final Step
This part requires a little patience.
Step 1: Wait for a Postcard
In about one month, you will receive a postcard called a “Grant Notification Letter” (交付通知書 – kofu tsuchisho) from your city/ward office.
Step 2: Go to the Ward Office to Pick It Up
You must go to the designated office in person to collect your card.
You may need to book an appointment online first, so check the postcard carefully.
Bring these items with you:
- The Grant Notification Letter (the postcard)
- Your Residence Card (Zairyu Card)
- Your original “Personal Number Notification” paper (to return it)
Step 3: Set Your Passwords
At the counter, you will be asked to set several passwords for your card.
These are very important for using its digital functions.
Write them down and keep them somewhere safe. Do not forget these passwords!
Once you set your passwords, you will finally receive your My Number Card!
It may seem like a lot of steps, but having this card will make your life in Japan much more convenient.
